Terms of Service
Last updated: September 12, 2026. These terms govern your use of The Virtual Front Offices platform and services.
1. Service Overview
The Virtual Front Offices provides a done-for-you package including a smart website with live chat, a 24/7 AI voice receptionist, lead follow-up via SMS, and direct calendar booking. Setup is a one-time fee; ongoing service is billed monthly.
2. Setup & Go-Live
Initial setup typically takes 7 to 14 business days. We configure your AI prompts, calendar sync, website, and messaging. You approve the configuration before your Virtual Front Office goes live.
3. Fees & Billing
The one-time setup fee is $1,000 and covers configuration and go-live. The monthly service fee is $597 and is billed in advance. Monthly fees continue until you cancel in accordance with these terms.
4. Acceptable Use
You agree to provide accurate business information, to obtain any required consents for recording calls, and to comply with applicable laws and regulations. You may not use the service for unlawful, abusive, or deceptive purposes.
5. Account Responsibilities
You are responsible for keeping account credentials secure, for the content of your AI prompts and business information, and for the accuracy of calendar availability you make accessible to the system.
6. Cancellation & Refunds
You may cancel monthly service with notice. The one-time setup fee is non-refundable once configuration work has begun. Pre-paid monthly fees for periods after cancellation are refunded pro rata.
7. Limitation of Liability
Our services are provided on an 'as-is' basis. To the extent permitted by law, we are not liable for indirect or consequential damages, including lost revenue from missed calls. Our total liability is limited to the fees paid in the prior three months.
8. Changes to These Terms
We may update these terms as our services evolve. Material changes will be communicated to active clients in advance. The effective date below reflects the most recent revision.
